We are seeking an energetic individual with strong administrative and property management experience to join our team. Under the general supervision of the General Manager, the Tenant Coordinator acts as the first point of contact to park tenants, vendors and contractors. The primary purpose of this position is to support the General Manager in the management of administrative functions required for park management in accordance with company and industry best practices and is involved in all aspects of the day to day operations of the park.
We are seeking a detail oriented, focused individual with 3-5 years’ experience in property management and/or tenant coordination. The candidate must be able to handle a faced-paced, dynamic environment, customer service focused environment, with several moving parts. They must also be self-directed, self-managed, willing to ask questions, but also be a team player.
Bachelor’s degree strongly preferred
Minimum 3 years’ experience in property management and/or tenant administration including fixed assets and inventory control
Intermediate skill level in MS Office, Excel, and Outlook.
Database entry experience
Demonstrate excellent verbal and written skills
Organized and able to meet deadlines
Accounts payable experience
Basic understanding of budgets and financial statements
Solid knowledge and understanding of park standards and tenant leases.
Respond to tenant requests and problems in a timely and courteous manner.
Produce monthly tenant reports for General Manager review.
Prepare and distribute letters, bill backs, and spreadsheets as necessary.
Prepare purchase and change orders.
Make recommendations to General Manager for repairs and maintenance needs.
Conduct regular inspections of the park and the tenant spaces to ensure compliance with leases, life safety policies, and the proper upkeep of the park.
Ensure all files are properly maintained in accordance with park policy.
Assist with marketing and special events.
Answer telephones and communicate with 2-way radios.
Coordinate maintenance of office machinery such as copies, fax machines & desk top computers.
Manage events calendar.
Maintain manuals for management, company, emergency, park rules and regulations.
Coordinate work orders with the Engineering department using Daily Activity Reporting system.
Coordinate, communicate, and resolve tenant issues.
Maintain tenant files for accuracy.
Basic understanding of Financial Statements
Maintain current Certificates of Insurance (COI’s)
Maintain tracking logs, monitor compliance; send notices to vendors and/or tenants who have expired certificates; follow up with each tenant.
Code accounts payable invoices; maintain park accounts payables files, and W-9’s for vendors.
Prepare tenant billings.
Assist in accounts receivables monitoring and collection efforts.
