Assists Property Manager in the day-to-day administration of the on-site property management office and supports the on-site management and operations team in their customer/tenant services. Schedules appointments, gives information to callers and visitors and otherwise relieves management staff of clerical work and administrative details.
•Answers telephone and gives information to callers or routes call to appropriate manager or operations staff member. •Maintains appropriate property logbooks and issues visitor or vendor badges or access in accordance with property standards. •Reads incoming mail and email and routes to appropriate property staff. •Assists management and accounting staff in property expense reconciliation and recovery of pass through operating expenses. •Maintains and assists in preparation of property related monthly, quarterly and annual reports and other statistical and operating manuals. •Assists in the preparation of the annual property operating and capital budgets. •Coordinates the development of a comprehensive tenant and client data base to include emergency and after hour contact lists. •Sets up vendor contract files including input to accounting. Initial processing of all property invoices for manager approval. Track open work orders and purchase orders for timely receipt of materials and invoices. •Coordinates with security after hour access, access badges and move in and move outs. •Maintains certificate of insurance and other required documents regarding tenants, vendors and service contractors. •Works on special projects as assigned.
•Excellent organizational, multi-tasking, problem solving and communication skills coupled with well-rounded personal skills to deal with a wide range of personalities. •Proven ability to communicate effectively, orally and in writing with tenants, contractors, vendors and other company employees. •Skills in math and spreadsheet utilization. •Microsoft Office skills, customer service and focus skills and supply management. •Prior experience as a front office receptionist in a commercial business environment.
