Management of Class A, LEED Platinum, Trophy building in San Francisco's Financial District along with single tenant building in prestigious Palo Alto. Responsible for the overall management of the property, including administration, financial control, operations, tenant relations, construction, leasing and marketing. The management goal is to maintain property in accordance with the established standards, while providing quality service expected by Class A building tenants.
Job Functions:
I. Administration
A. Ensures accurate billing of rents and operating expenses, escalation adjustments and overstandard services and utilities. B. Accepts responsibility for administration of the risk management program. Responsible for obtaining and maintaining valid Certificate of Insurance as required from tenants and contractors. C. Implement new programs or procedures as established by Property Management.
II. Financial
A. Creates cash flow operating budget for full or partial calendar year’s operation at projected occupancy. Creates accrual operating budget for calendar year at full occupancy which, when approved by supervisor, shall constitute estimated operating expenses under the provisions of the building lease. Budgets shall include number, type and salary requirements of personnel required for operations as well as outside contracts and supplies required. B. Prepares monthly and quarterly financial reports, budgets and variance reports as required by management on a timely basis as scheduled. Cash management of income and expenditures as directed is critical. C. Accepts responsibility for accounts payable from coding, approving and processing for payment. D. Accepts responsibility for accounts receivable from collection of rents through parking and other charges.
III. Operations
A. Prepares bid proposals for all outside service contracts. Awards same with approval of supervisor. Supervises and evaluates all outside contractors for performance per specifications. Re-bids every contract upon expiration unless otherwise approved by supervisor. B. Supervises fire and life safety annual drills and inspections per Policies and Procedures. C. Supervises security functions for protection of occupants, visitors and property in accordance with Policies and Procedures. Reports immediately any security incidents to supervisor. D. Encourages computerization of engineering and office functions for efficiency of reporting, energy savings, building automation, cash management, and parking control. Recommends innovations and improvements to management. E. Provides direction and supervision to the building staff in the performance of their duties. Evaluates responsiveness and discusses with staff their performances, especially problems or weaknesses. Suggests special training if needed. Writes performance reviews for all personnel at least annually. F. Ensure that Property is maintained according to the quality standards approved by landlord.
IV. Tenant Relations
A. Executes Tenant Retention Program which includes monthly visits with tenant executives.
V. Construction
A. Supervises coordination of tenant improvements to effect transfer of responsibility from leasing department to management, such transfer to begin before lease execution. B. Oversee new tenant move-ins, existing tenant relocations and expansions, as well as tenant move-outs.
VI. Leasing and Marketing
A. Maintains tenant compliance of lease provisions and ensure that landlord fulfills its specific obligations under the lease agreement. B. Maintains working knowledge of marketplace.
