OBJECTIVE: Serve as primary contact with tenants. Establish and maintain good tenant relations. Together with other management office personnel and building departments, provide tenants with the highest level of attention, response and service.
• Respond to routine tenant requests • Distribute work order requests and maintain work order records; follow-up on requests to ensure completion. • Coordinate after hour access requests and freight elevator reservations. • Maintain tenant and staff contact lists. • Maintain certificates of insurance for tenants and contractors, requesting new or renewed certificates as required. • Assist with tenant move-ins and move-outs to ensure process is smooth. • Keep tenants informed by memo and newsletter of holiday schedules and services and special maintenance projects. • Arrange and deliver tenant and building events Accounting Support • Create Purchase Orders • Assist with preparation of annual budget and monthly reports. • Prepare invoices for approval, attaching appropriate supporting documentation • Manage Accounting Files – create filing labels and folders: file AP and AR • Prepare sundry charges • Index invoices for processing. • Track meter readings • Process invoices for the office and engineering • Create new vendor requests General Office • Answer telephone • Greet visitors • Open and distribute incoming mail. • Order and maintain office and kitchen supplies. • Perform miscellaneous typing, faxing and photocopying • Organize and maintain office files.
